It is the landlord side of Zillow's rentals business, and it is often one of the first places landlords think of when a unit opens up. What Zillow Rental Manager is

Zillow describes Rental Manager as "a real estate classified listing creation and distribution platform." In practice it is a set of landlord tools built around a single listing. You create the listing once, and according to Zillow it is distributed to Zillow, Trulia and HotPads, the three sites in what Zillow calls its rentals network. Zillow says that network reaches the most visitors of any rentals network.

Beyond the listing itself, Zillow's Rental Manager page describes tools for the rest of the leasing process:

  • Receiving and responding to messages from prospective renters
  • Managing tours by letting renters know upfront when you are available
  • Accepting rental applications with screening reports
  • Uploading your own lease and sending it for signature
  • Collecting rent and other charges online

Zillow positions the core product as free to get started, with a paid Premium upgrade layered on top. More on costs below.

How listing on Zillow Rental Manager works

The listing flow is straightforward. You create an account, enter the property address and unit details, set the rent and availability date, describe the home, add photos and choose how you want renters to contact you. Once published, the listing appears across Zillow's rentals network, and inquiries come to you inside Rental Manager.

A few practical points matter more than any setting:

  • The listing is a single source. Because one listing feeds several sites, an error in the rent, deposit or pet policy shows up everywhere at once.
  • Availability needs to stay current. An outdated listing generates inquiries you cannot convert.
  • Response speed shapes results. Renters who browse on a large network often contact several landlords at the same time. The landlord who replies first and clearly usually gets the showing.

What Zillow Rental Manager costs landlords

Zillow's Rental Manager page invites landlords to "get started for free," and its rent collection page states that rent collection is free for landlords regardless of payment method. Rental applications are also free for landlords, according to Zillow's rental application page; the applicant pays the application fee instead.

There are two cost areas worth checking before you post:

  1. Premium. Zillow offers a paid Premium upgrade that it says provides more exposure in local search results, listing recommendations, price and market insights, and priority support. Zillow did not publish a Premium price on the pages we reviewed, so check the current price inside your account.
  2. Listing charges. Zillow's help center maintains a dedicated article on paying for Rental Manager listings, which signals that some listings can carry a charge depending on Zillow's current rules. Before you publish, confirm in Rental Manager whether your specific listing is free or paid.

What Zillow Rental Manager costs renters

Renters see a different set of fees, and those fees shape how many applications you receive.

  • Application fee. According to Zillow's apply for rentals page, a renter pays $35 to apply to unlimited participating rentals for 30 days. Zillow says the screening includes a nationwide eviction search, a nationwide criminal search and a credit report with the renter's credit score and credit history. Some states and cities cap or regulate application fees, so check local rules.
  • Rent payments. Zillow states there is no fee for renters who pay rent by bank transfer (ACH). Renters who pay by credit or debit card pay what Zillow describes as a small fee; the exact amount was not listed on the page we reviewed.

Screening, applications, leases and payments on Zillow

Here is what Zillow says each tool does, based on its own product pages.

Applications and screening

Zillow Applications lets a renter submit one application to multiple participating rentals. Zillow's rental application page says it uses Checkr for background screening and that results come back in minutes. Zillow also highlights verified income information built into Zillow Applications, which it says lets landlords skip manual income review before approving a renter. As with any screening tool, you still decide who to approve, and your criteria should be written down and applied the same way to every applicant. Leases

Zillow's page describes uploading your own lease and sending it for signature. Your lease still needs to fit your state and local law, so many landlords have an attorney or local landlord association review their lease once and reuse it.

Rent collection

Zillow says landlords can collect rent, utilities, move-in fees and more online, that Rental Manager sends renters automated reminders when rent is due, and that with its Fast Payments option, rent payments can reach a landlord's account in as little as two business days.

Pros and limits for small landlords

Zillow Rental Manager has real strengths for a landlord with one to a few dozen units.

Where it works well

  • Reach. Zillow's network is where many renters start their search, and one listing covers three sites.
  • Low cost of entry. A landlord can get started for free, and Zillow states rent collection is free for landlords.
  • A familiar renter experience. Renters who already browse Zillow may be comfortable applying there.

What to weigh

  • Renter-paid costs. The $35 application fee and card payment fees fall on renters.
  • Fees and features change. Zillow's pricing has shifted before; The Real Deal reported in 2021 that Zillow had begun charging for some rental listings. Budget for the possibility that a listing you posted free last year carries a charge this year.
  • Scope beyond leasing. Zillow's product page centers on listing, applications, leases and rent. If you also want maintenance request tracking, expense organization for tax time or portfolio reports in the same place, compare what each tool covers for your portfolio before committing.

  5. Price with evidence. Compare similar active listings nearby before you set the rent, and revisit the price if inquiries stall after the first week or two.
